About This Job

Avum is seeking a knowledgeable, resourceful Administrative Assistant and Bookkeeper to support daily office functions and manage financial transactions, payroll, and billing to ensure accurate and timely payments for all corporate accounts. This position requires the ability to learn Avum’s financial procedures, create/update policy documentation, and support pricing efforts for new business proposals/quotes.

The candidate should be comfortable working with a diverse team of individuals who work both locally and remotely. The ability to always learn and share knowledge with peers in a fast-paced atmosphere is required to be successful in this dynamic role. NOTE: This fully remote role requires the candidate to participate in meetings virtually using tools like Microsoft Teams. Online availability during the core hours of 9 AM PST/PDT to 5 PM PST/PDT, Monday through Friday, will be required.

Example of Activities

  • Management of corporate accounts including Accounts Payable, Accounts Receivable, General Ledger, Asset Management, and Payroll.
  • Develop and plan a strategy for ensuring all transactions occur on time.
  • Assist in annual Financial and DCAA audits as necessary.
  • Assist in yearly budget and ongoing forecast efforts to ensure controlled cash flow, avoiding under-runs and over-runs.
  • Prepare P&L and balance sheet analytics for corporate accounting, to include explanations for significant variances to budget, prior reporting periods and/or prior years.
  • Prepare G/L account reconciliations and journal entries, to include recurring monthly entries and inter-company reconciliation with a corporate accounting team.
  • Evaluate appropriate revenue recognition methodology, ensuring compliance with contractual commitments, including GAAP, FAR, and CAS.
  • Support price quotes for large-scale proposals for government contracts.
  • Receive and distribute incoming mail and coordinate outgoing mail.
  • Writing and typesetting company documents as required.
  • Responsible for general paperwork, organizing company files, as well as general office organization.
  • Assist Avum staff and executives for all company documentation library and policy and procedures maintenance.

  • Experience using Microsoft Excel, Word, and PowerPoint.
  • Knowledge and experience with QuickBooks are recommended.
  • Technically capable of employing new tools and related technologies supporting the office, specifically including computer-related activities on the Apple Mac or MS Windows platforms)
  • Ability to apply experience in Microsoft product suite, including MS Project, MS Office (specifically Excel, Word, and PowerPoint).
  • Familiarity with Adobe suite of software (Illustrator, Photoshop, etc.), LaTeX, and HTML is a plus.

Place of Performance

The primary place of performance will be the Avum office in Agoura Hills, California, with the option of having the individual work remotely from a home office for some days of the week. Our priority is acquiring the most qualified candidate to satisfactorily perform the required tasks, including team collaboration, regardless of the candidate’s geographical location.

Educational/Work Experience

Although no degree is required for this position, an individual with an Associate’s degree in Accounting, Business, or a related field is desirable.

Salary

Starting salaries for this position range from $52,000 - $83,200 and are commensurate with experience. The position is full-time, salaried, with benefits.
